Facilities Coordinator


Goal

As the facilities manager at The Westview School, you will contribute to a positive, well-maintained working environment that encourages employee productivity and engagement. Beyond simply overseeing the day-to-day maintenance and repair needs of the school, you will have the opportunity to make a difference in the way our building functions by voicing your opinion and attending leadership team meetings.

Job Responsibilities

- Inspect the grounds, bathrooms, classrooms, offices, and common areas of the school daily to determine if repairs, renovations, or routine maintenance are needed
- Maintain the physical space, ensuring a safe, clean, and functional environment
- Draft and implement preventative maintenance schedules for buildings and equipment
- Receive, manage, and process work order requests; ensure problems are resolved quickly
- Create a budget for the regular operation of the facility and record expenses for renovations, repairs, and maintenance at the end of every week
- Monitor progress on building maintenance or renovation projects and assist with general repairs when the need arises
- Communicate with staff, groundskeepers, and outside contractors to inform them of plans and ensure any ongoing projects remain on task
- Schedule and supervise the work of all outside contractors
- Make sure the building maintains a high level of security by implementing processes for locking the building after hours, serve as liaison to the security company, and act as the first point of contact for the monitoring company
- Respond to and handle emergency issues promptly, including those related to repairs and maintenance
- Be proactive in preparing the building for weather events (hurricanes, freezes)
- Report maintenance concerns to the Head of School in a timely manner
- Supervise and direct the work of the Assistant Facilities Coordinator
- Serve as liaison to the City of Houston Fire Marshal, oversee fire drills, maintain documentation, supervise inspection, and oversee the timely remediation of any code violations 
- Complete all necessary applications for required permits, submit purchase orders for payment, post current permits as required, remove expired permits, and maintain all necessary records related to permitting
- Ensure all equipment is in proper working order and is available for use
- Ensure safety standards are followed throughout the facility
- Adhere to state/federal guidelines regarding health and safety (OSHA)
- Maintain inventory of supplies; reorder as needed
- Perform other related duties as assigned

Required Skills and Abilities

- High School diploma or equivalent
- 3 – 5 years of building management experience
- While not required, hands-on building maintenance and repair experience will be a plus
- Excellent verbal and written communication skills
- Collaborates and communicates effectively with all members of the school community 
- Maintains a positive attitude and working relationship with students, families, staff, and administration
- Create and maintain necessary reports and logs
- Excellent organizational skills and attention to detail
- Ability to perform well in a fast-paced environment
- Must be able to work independently and exhibit initiative to identify and solve problems, including tracking situations until appropriate resolution is achieved
- Must be available to be on-call after hours to respond to emergency situations, which may include extended hours and weekends
